Who can submit content?
All HKU members can submit content related to their corresponding university faculty/dept/society/office using their HKU Portal login.

Should I submit a “Web Story” or “a TV Story”?
If you wish your content to be shown on the HKU website under “All Stories” and / or “Events” sections, you may submit a Web Story. You can add a range of content types to each of your stories, such as text, images and videos.
If you wish your content to be broadcast on U-Vision TVs across HKU campuses, you may submit a TV Story. You can choose to upload a video or poster for each TV Story. If you have published a Web Story regarding the same topic, you may input the link in the TV Story submission form for viewers to read more information from your Web Story. A QR code linking to your Web Story will be automatically generated and displayed on the side panel of the TVs.

What legal and ethical policies must I keep in mind when submitting content to the HKU website?
Content providers should:
- avoid any political and religious bias, hate speech, and contempt of court
- comply with the Hong Kong Personal Data (Privacy) Ordinance
- comply with the Hong Kong Copyright Ordinance
- comply with the Equal Opportunity Policy from the Equal Opportunity Unit at HKU.

If I submit content, do I retain the copyright?
By submitting your content to the HKU website, you will have accepted our Terms of Use and granted us a publishing rights, while you retain full copyright of the material.

Will any of my content be edited or censored?
Content that is profane or violates copyright is detrimental to the aims of the HKU website and cannot be shown. The Communications and Public Affairs Office reserves the right of final decision on any controversial issues.

When will my content show up?
It takes approximately 7 working days for our team to process your submission for web publishing and TV broadcast. If the publishing date is important to you, make sure you submit your content well in advance!

Where will my content show up?
Your content will be published on the HKU website and / or U-Vision's TVs throughout the university.

Does the HKU website accept submissions from students?
Yes, the HKU website allows students' submissions if the content relates to a university cause. For example, if you wish to promote an event related to your student society, please upload through that society's HKU portal account so that our office can grant you approval for publishing. If you wish to showcase your work for the subject you are studying in, seek your course tutor/lecturer to upload on behalf of the faculty/department. If your content does not fall under your academic studies, but is still related to the university, you may wish to seek the help of a student orientated university office, such as CEDARS, to upload under their account.

Can I submit content to the HKU website if I am not a member of HKU?
The HKU website only accepts submissions from official HKU sectors. If you are not a member of HKU but have material that you would like to publish on the HKU website and/or U-Vision TV, please make sure it is relevant material that would be accepted by an HKU faculty / department / centre / office and acquire endorsement of your submission via that related HKU party. We only allow submission accounts to HKU parties, so you must let a relevant HKU party submit the material on your behalf.

How do I submit content?
You can submit content by logging in and uploading. To login, click the “Upload a Story” button in the menu of the website or go directly to this page. Check out our uploading guides for more help.

How can I login to the HKU website?
You can login to the HKU website using your HKU portal account. Note that the “Upload a Story” button is at the quick links section located near the bottom left corner of the main menu which is accessible by hovering over the menu links at the top of the website.

What kind of content can I submit to the HKU website?
You may submit content relating to HKU with the aims of:
- disseminating relevant information/knowledge amongst HKU members
- promoting campus events
- promoting distinguished people on campus
- fostering HKU image and building team spirit

How many content entries can I submit to the HKU website?
We generally do not limit content entries. You are welcome to share your content with others through the HKU website as much as you like. It is only during peak traffic season, such as at the beginning of a semester when many users wish to share their content all at once, we may enforce certain limits to enable each party to a fair chance at publishing their material.

I don't have video editing software, can you help?
HKU has purchased the Camtasia Editing software for staff and students to edit videos. It's a free that you can use to compose your slideshows and videos. Check out HKU ITS Camtasia Site License for Staff and Students website for more help.

Which story type should I choose in the “Create Web Story” submission form?
“General Story” is for featuring the university’s cutting edge research and expert opinions, as well as the achievements of the academic staff and student body.
“Event Story” is for promoting an event. Before the event occurs, you can upload images, an agenda, or any other basic information about the event that you have at this stage to attract attendees. Once the event has concluded, you can modify the same story, change it into a “General Story” in the CMS and add post-event highlights, such as photos, videos, and a text summary to promote the event further.

Where will my Web Stories display?
Your General Stories and Event Stories will be published in the “All Stories” and “Events” respectively under “News & Events” section of the website. Selected General Stories may be featured on the homepage and the latest Event Stories will also be visible on the homepage.

Will my stories be shown on the homepage of the HKU website?
CPAO may select your story to showcase on the homepage based on various aspects, including its intrigue, impact factor and time significance. CPAO reserves the rights to exercise editorial decisions to feature certain stories and not others.

Where can I find my submitted stories in the CMS?
You can find a list of stories you have created by clicking “My Stories” on your Dashboard.

How is airtime allocated?
All content is arranged on a "first-come-first-serve" basis and will not be broadcast for more than 1 month at a time.

Will breaking news be shown on U-Vision?
Yes, if our budget and technical sources permit, we will broadcast local and international breaking news.

What's the relationship between U-Vision and Campus TV?
U-Vision is separate from Campus TV. While Campus TV may submit content to U-Vision, they are two distinct entities with different goals.

What language content can I broadcast on U-Vision?
As English is HKU's primary and instructional language, all content uploaded to U-Vision must be primarily English or has corresponding English subtitles or English side annotations paraphrasing the message being delivered.

How long is my content broadcast for?
When you upload your content, you have the choice to input the start and end time of when you wish to broadcast your content. We will take this into consideration when we schedule your content for broadcast. Depending on how many other submissions we have at the time, we will likely oblige to your requested schedule. However, we recommend that no content be broadcast on our TVs for over a month continuously. It is only during high traffic content submission season, such as during society registration period, we may impose certain limitations to enable each party to a fair chance at broadcasting their material.

How does U-Vision TV broadcast its media?
U-Vision TV displays videos and static images. If your content has a resolution ratio of 16:9, it will be displayed like this sample. You may opt for your preferred display arrangement upon uploading your content.

What kind of TV monitors does U-Vision use and where are they located?
We have TV monitors in the sizes of 22", 42" and 55". Take a look at our location list here.

Are the TV monitors disruptive?
U-Vision monitors are located in areas specifically chosen because they are not disruptive to passers-by. Our televisions' sound levels are carefully monitored to avoid disturbance.

I only have a bunch of photos, but I want to make a video. What is the simplest way to transform it into a slideshow for U-Vision TV?

Can I adjust the start time and end time of my submitted video?
Yes, you can. Please click here to login our system and edit your content.

Any limitation on the file size of my content?
For posters, the file size must not exceed 20MB; while for videos, the maximum file size is 2GB and it should not be longer than 5 min for videos.

What resolutions would be acceptable for my content?
Poster:
Any width from 1540 pixels- 5120 pixels
Any height from 872 pixels - 5120 pixels
Video:

Why do I need the side panel text?

You are able to input text on the side panel accompanying poster upon submission.

We encourage using this feature to facilitate viewers who would have trouble reading the key info on your poster image from afar.
- This feature is mandatory for posters with its main info written in a language other than English. In such cases, the English text equivalency must be input as the poster's side panel details upon submission.

What if my content contains language(s) other than English?
For poster, please make use of the side panel text. The English text equivalency must be input as the poster’s side panel details upon submission.
For video, please include English subtitles or English side annotations paraphrasing the meaning of the message being delivered. -

How can I upload subtitles for my video?
You can find an option for you to upload a subtitle file (we accept .srt or .vtt formats) when you upload your video. You can also add a subtitle file after you have uploaded your video by clicking on the "Edit" button underneath your video listed in the "Video List" section. You will need to be logged in to HKU.hk to see these functions.

How can I create my own subtitle / audio caption for my video?
There are some freeware or online editing platforms for you to create and edit subtitles:

Can I amend or add subtitles after uploading my video?
You can upload a new subtitle file to add to your video or to replace a previously uploaded subtitle file through our system at anytime by clicking on the "Pending Approval" or "Approval" button underneath your video listed in the "My Content" section after you have logged in. However, please note that processing time may be needed for the re-approval of your video.

What are the tags or hashtags used for under my content?
A Hashtag is a label following a hash sign "#" to assign a message to a specific theme or topic. It is also widely used on social media platforms. You can assign at least 3 hashtags to each piece of content that you submit to HKU.hk, which will make your content easier to find by users looking for info on the same topics or themes.

If I would like to include a music clip in my video, do I need to pay for that?
Yes, of course! Most of the music clips/sound recordings involve copyright issues, unless they come from:
· Creators who already died over 50 years; OR
· Sound recordings manufactured over 50 years; OR
· Audio files used in compliance with a Creative Commons license -
I bought a CD from a store. Does that mean I could use it in my video for broadcast on TV or online?
No. Buying a CD in a store doesn't mean you own its copyright. You may not freely play/perform/broadcast the piece in public, alter it for your own use, or make available copies for access through the Internet. You may contact the music company that produced the CD and sort out a license agreement before using any music clip.

Whom shall I contact to get the music license?
· CASH: An organization to protect the copyrights of composers and authors of musical works.
· PPSEAL (a subsidiary of IFPI) or HKRIA: Two organizations to protect the copyright of different music companies regarding in musical sound/visual recordings such as tapes, cassettes, CD, laser discs and cartridges, etc.
· Other identifiable custodians of a related music clip - If I acknowledged the composers, authors and music companies of the musical works, could I use them without paying any license fee?

Do you have any suggestions where I may find music I could use for my video?
You may be able to search online for some royalty music to purchase for just a one-time small fee. Or some may be free for your use as long as you abide their crediting rules. Will HKU.hk cover music license for HKU members?
No. The music clips you submit to HKU.hk must be cleared with the copyright and settled with license fee.

Does HKU.hk accept commercial advertisements?
No. HKU.hk feels that commercials will detract from the system's goal of fostering communication between staff and students; thus, any advertisements or sponsorships will be avoided.

Our event/activity was sponsored by a commercial organization. Can I add sponsor logos into the content I submit to HKU.hk?
If you have such an obligation to your sponsor(s), yes, you may add their commercial logos into the content you submit to HKU.hk, as long as the visible size of the logo does not exceed 10% of the screen at any given time.

Does HKU.hk replace all other forms of campus notification systems?
No, but HKU.hk aims to become a consolidated publicity system for the University and simplify the announcement process for all HKU members by integrating the HKU Event Management System (HKUEMS) and bulk emails.

U-Vision & Campus TV Relationship
We would like to acknowledge the invaluable input of Campus TV in the creation of U-Vision. Their help made the transition from concept to reality possible. However, U-Vision and Campus TV will remain independent institutions as both parties wish to retain their full creative autonomy.

Environmental Awareness
Sustainability is a major focus at HKU and is directly targeted by U-Vision. The use of digital communication is an effort to reduce the number of printed posters and banners used around campus. Along with paper waste reduction, U-Vision will also pursue energy-saving practices. At present, the TV monitors will only increase HKU's total electricity consumption by approximately 0.04% in reference to 2005 and 2006 figures. (Excluding the larger LED monitors), HKU's total electricity consumption will only be increased by approximately 0.01%.
